Microsoft SharePoint stores your documents in Microsoft 365, rather than on a server in an office or on individual laptops. Each home can have its own area, head office can see across all of them, and staff only see what their role allows.
There is no hardware to buy. The cost is the Microsoft 365 licence for each user, which most organisations already have.

Keeping sensitive records secure
Information about young people is highly sensitive, so how staff reach it matters as much as where it is stored. We switch on two-factor authentication for every account, so a compromised password alone does not give access. Data travelling between your devices and Microsoft is encrypted.
Files can be used in a web browser or synced through OneDrive on a PC or Mac, so staff are not signing in all day.
Set up by people who know the sector
Most care providers do not have their own SharePoint team. We plan the structure around how your homes work, set up the permissions, move existing files across, and look after it afterwards. If you also want encrypted email and asset management, they all work together in Microsoft 365.

Do we need a server?
No. SharePoint is part of Microsoft 365, so there is no server to buy or maintain.
Can head office see every home's files?
Yes, if you want it to. Access is set by role, so head office can see across all homes while each home's staff see only their own.
